# Asset Library

Your own file library inside DarcyIQ: upload large documents, images, and media once, and let Darcy and your agents reuse them in any conversation.

The Asset Library is file storage built into DarcyIQ. Upload a statement of work, a pricing spreadsheet, a brand kit, or a recording once, and it stays there, organized in your own folders, for you and Darcy to come back to. Any chat, agent, or workflow can find it later without you uploading it again.

{% hint style="success" %}
**Upload once, reuse everywhere.** A file in the Asset Library isn't tied to the conversation you first used it in. Weeks later, ask Darcy for "the Acme SOW" and she finds it, opens it, and works from it.
{% endhint %}

## Assets vs. Artifacts

The Asset Library sits beside the [Artifact Vault](/organize/artifact-vault.md) on the **Artifacts & Assets** page. They hold different things:

|              | Artifact Vault                                                    | Asset Library                                                             |
| ------------ | ----------------------------------------------------------------- | ------------------------------------------------------------------------- |
| **Holds** | Content Darcy *creates*: documents, diagrams, apps, presentations | Files you *bring* or keep: PDFs, Office files, images, video, audio, CSVs |
| **Edited** | In DarcyIQ, with versions | As files. Download, change, and upload again |
| **Best for** | Deliverables you refine and publish | Reference material, source data, and finished files you want to keep |

Use the **Artifacts | Assets** switch at the top of the file tree to move between them. Each view keeps its place when you switch back.

## Overview

| Feature                  | Capability                                                           | Business Impact                                         |
| ------------------------ | -------------------------------------------------------------------- | ------------------------------------------------------- |
| **Large Files** | Any file type, up to 100 MB per file | Keep the full document, not an excerpt pasted into chat |
| **Your Own Folder Tree** | Create, nest, rename, and move folders; upload whole folders at once | Organize by client, project, or topic |
| **Agent Access** | Darcy and your agents can search, open, save, and organize assets | Agents work from your real files, not from memory |
| **Attach in Chat** | Attach any asset to a message instead of uploading it again | No more hunting for the file on your laptop |
| **Save From Chat** | Keep a file or image Darcy produced with one click | Outputs outlive the conversation that made them |
| **Sharing** | Share individual files with teammates at a permission level | One copy of the file, not five |
| **Recoverable Deletes** | Archive first; permanent deletion is a separate, deliberate step | Mistakes are reversible |

## Adding Files

{% stepper %}
{% step %}
**Open the Asset Library** Choose **Artifacts & Assets** from the main navigation (or press **Ctrl + K** and search for it), then switch to **Assets**.
{% endstep %}

{% step %}
**Upload** Use the **+** menu at the top of the tree to **Upload files** or **Upload folder**, or right-click a folder and choose **Upload files here**. A folder upload keeps its subfolders.
{% endstep %}

{% step %}
**Describe it (optional)** Open a file and add a description. Search matches on the description as well as the name, and the description is what helps Darcy pick the right file later.
{% endstep %}
{% endstepper %}

Files can be up to **100 MB** each. A file over the limit is rejected before any of it uploads, and upload progress shows for each file in the tree.

## Browsing and Previewing

Click any file to preview it. Images, video, audio, PDFs, Office documents, and text files open in the viewer. Everything else can be downloaded.

The **details** panel shows a file's size, type, folder, tags, and where it came from:

| Source              | Meaning                                         |
| ------------------- | ----------------------------------------------- |
| **Uploaded**        | You uploaded it                                 |
| **Saved from chat** | Saved from a file or image Darcy showed in chat |
| **Saved by Darcy** | Darcy saved it while working on a task |

| Action          | How                                             |
| --------------- | ----------------------------------------------- |
| **Search** | Type in the search box at the top of the tree |
| **Sort**        | Switch between **Recent** and **A–Z**           |
| **New folder**  | **+** menu, or right-click a folder             |
| **Move**        | Right-click and choose **Move to…**             |
| **Rename**      | Right-click and choose **Rename**               |
| **Download** | **Download** in the file header, or right-click |
| **Bulk select** | Select several files to archive them together |

## Using Assets in Chat

### Attaching an Asset

Click **Files** in the message box and choose **Attach asset**, or type **`/asset`**. Pick a file from your library and it attaches to your message like a regular upload, marked **From your Asset Library**.

Small images and text files go straight into the message. Larger files are copied onto Darcy's [cloud computer](/core-features/darcy-os.md), where she can open, convert, or analyze them.

### Saving a File From Chat

When Darcy presents a file or an image in chat, open the toolbar's **Save** menu and choose **Save to Assets**. The file is copied into your library root, and you can move it from there.

### Asking Darcy

Darcy can manage the library for you. Just ask:

| You say                                              | Darcy                                                                 |
| ---------------------------------------------------- | --------------------------------------------------------------------- |
| "Find the March invoice in my assets" | Searches your library, plus files shared with you |
| "Open the Acme SOW and summarize the payment terms" | Copies the file onto her cloud computer and reads it there |
| "Save that PDF to my assets under Clients/Acme" | Saves the file she produced, creating the folders if they don't exist |
| "Move last quarter's reports into an Archive folder" | Creates the folder and moves the files |
| "Delete the old draft" | Archives it. Darcy never deletes a file permanently |

Assets also show up in Darcy's account search, alongside meetings, lists, and artifacts.

{% hint style="info" %}
**Files, not pasted text.** When Darcy needs to keep a file, she saves it as an asset rather than pasting its contents into a list or a message. The file stays intact and every future conversation can use it.
{% endhint %}

## Sharing

Open a file and click **Share** to give teammates access at a permission level. Files shared with you appear under **Shared with me** at the top of the tree, with the owner's name.

* Anyone you share with can preview, download, and attach the file, and their agents can read it.
* Only the **owner** can move, archive, or restore a file.
* The share link points into DarcyIQ. Recipients need a DarcyIQ account and access to the file.

## Archiving and Deleting

Deleting is a two-step process:

1. **Archive.** Right-click a file or folder and choose **Archive**. Archiving a folder archives everything inside it. Archived files disappear from the tree but aren't gone.
2. **Restore or delete permanently.** Open the **Archived** view (the archive toggle at the top of the tree) to **Restore** a file, or **Delete permanently** to remove it and its stored file for good. Archived files show the date they'll be permanently deleted automatically.

Only a person can delete permanently. When Darcy "deletes" a file, she archives it.

## Permissions

Uploading and creating folders requires asset access in your organization's role. Each person's library is their own: other people only see your files if you share them.

{% hint style="info" %}
**Pro Tip**: Create a folder per client and keep the source documents for each engagement there: the SOW, the RFP, the architecture diagrams. Then any conversation about that client can start with "use the files in Clients/Acme".
{% endhint %}

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.darcyiq.com/organize/asset-library.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
